Terms of Service

1. Introduction
Vet SOAP Notes is a Chrome browser extension that records a veterinary
visit, transcribes the audio, and generates a draft SOAP note using AI.
It is built for licensed veterinarians practicing in the
United States.
2. Your acceptance of these Terms
By installing the extension, signing in, or using the service in
any way, you agree to these Terms and to our
Privacy Policy. You also acknowledge
and accept that:

we collect product-analytics events describing how
you use the extension (which screens you open, which actions you
trigger, durations, error reasons) — see the Privacy Policy for the
exact list;

authorized Vet SOAP Notes staff may review your
account data — including audio, transcripts, and the SOAP notes you
generate — for quality control, customer support, AI evaluation,
and investigation of abuse. Every such review is logged
internally;

we may occasionally show you an optional in-product
feedback survey (one question, 1-10 rating, optional
comment). Participation is voluntary; closing it has no effect on
the service;

your continued use of the product after we update these Terms or
our Privacy Policy means you accept the updated version.
If you don't agree with any of the above, please don't install or use
the product.
3. Account & access

You must sign in with your Google account the first
time you open the extension. There is no anonymous mode.

Once signed in, you stay signed in until you explicitly tap
Sign out from inside the product — no periodic re-login.
- You're responsible for keeping your Google account secure.

We may suspend or terminate accounts that abuse the service, violate
these Terms, or put other users at risk.
4. Pricing
- Free trial: 5 SOAP notes, included with your account.
- Pro: $69 per month, billed monthly, cancel anytime.

Prices are in US dollars and exclude any applicable taxes. We may
change pricing for future billing periods with reasonable notice by
email.
5. Veterinarian obligations
This is the most important section. Read it carefully — it's how the
product stays lawful and ethical.
Before you record any visit using Vet SOAP Notes, you must inform the
pet owner (and any other person whose voice may be captured) that:
- the visit is being recorded;

the audio will be sent to third-party AI services for transcription
and SOAP-note generation; and

Vet SOAP Notes may retain the resulting transcript and SOAP note as
part of the patient's medical record.
By using the product, you represent and warrant that you have obtained
the pet owner's informed consent before each recording, in the form
required by the laws of your state.
You are solely responsible for compliance with state veterinary record
laws, state recording-consent laws, and the AVMA Principles of
Veterinary Medical Ethics. Vet SOAP Notes is a tool — the practicing
veterinarian is the record-keeper.
6. Acceptable use
You agree not to:
- record a person without their consent;
- use the product for anything other than veterinary practice;
- process human medical encounters with the product;
- upload content you don't have the right to process;

reverse-engineer, decompile, scrape, or attempt to extract source
code or model prompts from the extension or backend;

resell or sublicense access to the product without our written
permission.
7. AI accuracy & clinical responsibility
SOAP notes produced by Vet SOAP Notes are AI-generated
drafts. They may contain errors, omissions, misheard terms,
or misinterpretations of the conversation.
We actively validate the AI's output before showing it to you: if a
required clinical field is missing, the system refuses to
generate a note rather than silently substituting placeholder
content. Even so, AI output remains a draft and must be
reviewed before clinical use.

You must review and, where necessary, edit every note before relying
on it, signing it, or entering it into a patient's chart.

Vet SOAP Notes does not provide medical advice and is not a
substitute for clinical judgment.

We are not liable for clinical errors, missed diagnoses, or harm to
animals or people that result from acting on an unreviewed or
uncorrected AI draft.
8. Data ownership

You own the medical-record content — audio, transcripts, and SOAP
notes generated for your patients.

We process that content on your behalf, only to operate the service
described in our Privacy Policy.

You grant us a limited license to host, transmit, and process the
content as needed to provide the product to you.
9. Termination
- You may cancel your account at any time from inside the product.

We may terminate or suspend your account for breach of these Terms,
non-payment, or to comply with law.

Before closing your account, you may export your transcripts and

After termination, we delete your account data within 30 days,
subject to any legal retention obligations.
10. Limitation of liability
To the maximum extent permitted by law, Vet SOAP Notes is provided
"as is" and "as available", without warranties of any
kind, express or implied.
We are not liable for any indirect, incidental, special, consequential,
or punitive damages, or for lost profits, lost data, or business
interruption arising from your use of the product. Our total liability
for any claim relating to the product is capped at the amount you paid
us in the twelve months before the claim arose, or US $100, whichever
is greater.
11. Changes to these Terms
We may update these Terms from time to time. If we make material
changes, we'll let you know by email at the address on your account
before the changes take effect. Continued use of the product after the
effective date means you accept the updated Terms.
